What University Units Need to Do, and by When

While events are currently being offered in RegOnline through December 31, 2019, RegOnline shuts down on September 15, 2019 (Sunday), per UVM contract.  Given the compressed nature of the transition timeline, the immediate objective of the Elevate implementation team is to have a system in place to facilitate student registration and the acceptance of payments by the time the RegOnline contract expires. Under these circumstances, the Elevate implementation team aims to provide administrative support to partner units during the transition period, especially in phase 1. Such support may include data entry and or data conversion from RegOnline to Elevate.

During this transition period, all UVM College/Schools/Units/Offices are expected (refer to ACTION items) to do the following:

June to August 2019:  Phase 1 Elevate implementation for both technical and functional capabilities.

August 12, 2019 (ACTION): For the “active” offerings currently in RegOnline, being offered through December 31, 2019 and for the open-ended offerings, you will be asked to complete a course submission template.  The data contained in the template will be sent via email to the UVM Non-Credit Central Enrollment Services Office for input into Elevate.  They can be contacted at noncredit@uvm.edu. Additionally, the same process will apply for 2020 offerings and beyond after approval has been received from the College/School/Unit/Office.

August 19, 2019:  Elevate production environment goes live at UVM. 

August 19 to September 6, 2019:  Course set-up in Elevate, using the course submission template received from Colleges/Schools/Units/Offices, will be completed by the UVM Non-Credit Central Enrollment Services Office.

  • All “active” offerings currently in RegOnline, being offered through December 31, 2019 and for the open-ended offerings, will need to be recreated in Elevate by the Non-Credit office.  Registrants in those offerings will have to be uploaded into Elevate by the Non-Credit office.

September 6, 2019 (ACTION): The existing links to offerings on your web pages need to be pulled down and replaced with a new link. The link is forthcoming. This new link is going to capture student information in the Registration Interest Form while the non-credit system is shut down.

September 6, 2019 (ACTION)Existing RegOnline users with “active” offerings currently in RegOnline, running through December 31, 2019 and for the open-ended offerings, will need to send an email to those registered students in RegOnline.  The communication will explain the move to the new system and provide students with contact information should they have any questions.  This communication template will be created for you.  More information about this task is forthcoming.

September 6, 2019 (ACTION):  All UVM College/Schools/Units/Offices with current RegOnline activity will need to change all “Active” events in RegOnline to “Update Only” status.  This will halt students from registering in RegOnline.

  • Note:  If you have automatic renewal payments enabled for memberships, changing the status may trigger automatic charges. If this is the case, you may want to consider leaving status alone and simply removing the registration link from your webpage.

September 7 – 15, 2019: There is no Non-Credit Registration system during this time period.

People will complete the Registration Interest Form while system is down.

Form will capture basic information (Name, Email, Phone and Program Interest) and they will be contacted at go live by Non Credit Office.

(ACTION): All payments received, during this time, will be sent to the Non Credit Central Office at 460 South Prospect Street, Burlington, VT 05401, ATTN: Accounts Receivable. Payments will be logged to registrant accounts in Elevate the week of 9/16.

By September 15, 2019 (SUNDAY) (ACTION): The Controller and Registrar, as data stewards for financial and student data respectively, will download and retain, from RegOnline, the data necessary to meet UVM’s reporting, transcripting and audit responsibilities.  If you have a need or desire to retain any historical data from RegOnline for your own purposes, you are responsible for using the reporting function in RegOnline to download it by September 15, 2019.

September 15, 2019 (SUNDAY): UVM’s contract with RegOnline ends at 5:00 PM CT and will be turned off by RegOnline.

September 16, 2019 (ACTION): The updated registration links created in Elevate will be provided to the contact person listed on the course submission template.  Existing RegOnline registration links on webpages must be updated with the Elevate registration links. The links will be sent to you.

September 16, 2019:  Elevate goes live for Student Registration.

September 16, 2019: The non-credit office will reach out to all people who completed the Registration Interest Form.
