Payroll Forms and Procedures: What Do You Need to Record a Session?

Hi, everybody!

Just wanted to let you all know that TutorTrac is back and fully operational (we hope) as of today. You may disregard the paper scheduling system and, as per usual, record your sessions in the following manner:

For Campus-Wide Appointments:

1. Create a “Quick Visit” in TutorTrac to create a record of the session. Be sure to fill in all of the fields.

2. Enter the hours you have worked into PeopleSoft. Be sure they match the date and number of sessions you have reported in TutorTrac.

For Co-op Based Appointments:

1. Be sure to check your schedule on TutorTrac no more than an hour before your scheduled availability.

2. When you meet with a student, return to your schedule to mark the session as attended and to complete your notes in the session record.

3. Enter the hours you have worked into PeopleSoft. Be sure they match the date and number of sessions you have reported in TutorTrac.

For Drop-In Group Tutors and SI Leaders:

1. You will need to have all students sign an attendance sheet for each session you have. We will log the sessions into TutorTrac here in the Learning Co-op; you do not need to do this.

2. You will need to submit a work summary report before the end of each pay period.

3. Enter the hours you have worked into PeopleSoft. Be sure they match the date and number of sessions you have reported in TutorTrac and on your work summary report.

For Work-Study Tutors:

1. Follow the directions as indicated above.

2. For Co-op based appointments, remember you are required to show up and get paid for all availabilities, even if no one schedules an appointment with you.

3. You will need to complete a paper work summary report (found by the printer and on the blog) each week and submit it to Rachel.

4. You will need to enter your hours into PeopleSoft weekly.

Payroll Forms and Procedures (Emergency Paper System)

Hello, All–

As long as TutorTrac is down, we will need to keep track of sessions using a paper recording model.  For each session, you will need to complete a Session Record.  At the end of each pay period, you will need to submit a Work Summary Report along with your session records.  The hours listed on the Work Summary Report will need to match the hours you enter in PeopleSoft.  For a more complete summary of the paper recording system, look HERE.

Week Two Updates

Hello, Tutors–

The first day of tutoring is MONDAY, SEPTEMBER 12.  Both Co-op based and campus-wide appointments will begin on this date.

With the official start of our work together looming close, I have a few announcements and reminders for you.

1. Until further notice, TutorTrac will not be operational during our first week of tutoring.  We have instituted a paper record-keeping system for the interim.  You will need to complete a paper session record (found attached, on the blog, at the Co-op front desk, and in each of the cubicles) for each session you hold with a student.  In addition, you will need to complete a work summary report before each pay period and enter your hours in PeopleSoft.  The time you enter in PeopleSoft will need to match that recorded on your work summary report.

2. In order to begin tutoring this semester, you must complete the online policy reminder survey: https://docs.google.com/spreadsheet/viewform?hl=en_US&pli=1&formkey=dGJqckxoUGxzMGxxUXNHa0Y5UlhBMlE6MQ#gid=0

3. If you have received work study funding and would like to be paid using this award for your work in the Learning Co-op, please let me know as soon as possible so I can process your hire in the work study database.

4.  For students being paid using work study funds, you will need to enter your hours in PeopleSoft each week.  Regulations have changed, and you will no longer be able to retroactively add hours.  Furthermore, you will need to complete a work summary report for each week.

5. I am still looking for group tutors interested in leading drop-in sessions for BSAD 60, 61, 65, and 180; Statistics, Biology, and Psychology.  If you are interested, email me to set up a meeting.

6. If you are interested in participating in a conversation with Charlie Rathbone in regard to Universal Design for Learning as a follow-up to our all-tutor meeting, send me an email and let me know when you would be available to attend.

Week One Updates: Meeting Sunday at 7!

Welcome back (officially) tutors!

I hope you all had a wonderfully engaging and intellectually provocative first week of classes.  I have a number of updates for you, so here goes:

1. Our MANDATORY All-Tutor Meeting will be Monday, September 5 from 7:00-8:30 pm in L/L CM 315 (right upstairs from the Learning Co-op).  Can’t wait to see you all there!

2. Before you will be eligible to begin tutoring this semester, you MUST complete the online policy reminder survey.  Please be sure to submit your name and email address on completion so we have a record of your survey submission.  The link to the survey can be found here: https://docs.google.com/spreadsheet/viewform?hl=en_US&pli=1&formkey=dGJqckxoUGxzMGxxUXNHa0Y5UlhBMlE6MQ#gid=0

3. All other paperwork, forms, etc you will need to fill out to start the semester will be available at the all-tutor meeting.

4. I am still working on the Co-op schedule.  If you are available to tutor our traditionally high-demand courses (math, chemistry, BSAD, bio, statistics, anatomy…) and would like to hold regular hours in the Co-op, you may email me to set up a meeting or come talk to me at the end of our meeting on Monday.

5. I am also looking for tutors willing to lead group tutoring sessions, either in the Co-op or around Campus.  Physics and BSAD tutors, I NEED you!! Please let me know via email or at our meeting if you would be interested in leading groups in these subjects.

6. The Honors College is looking for a tutor in residence to hold group sessions either 6-8 pm or 7-9 pm in University Heights North on Wednesday evenings.  Let me know if you’re interested.

7.  Because of the holiday, the deadline to submit your hours in PeopleSoft this pay period is TONIGHT at midnight.  While none of you should have any hours entered for the Co-op yet, as tutoring doesn’t start until September 12, I don’t know how much this will affect you.  But just a heads up in case you need to enter hours from another campus job.
